Privacy Policy

This policy explains what information Pratt Logistics collects through the Pratt Dock Scheduler website at www.prattdock.com, and how we handle it. It describes this application specifically, not Pratt's business as a whole.

1. Who we are and what this covers

Pratt Dock Scheduler is a business application operated by Pratt Logistics, LLC for scheduling dock appointments at Pratt Logistics facilities. Pratt Logistics, LLC is the entity responsible for the information described here, and where this policy says "we" it means Pratt Logistics, LLC.

The application is used by our own staff and by staff at the carrier and shipper companies we do business with. Accounts are not open to the general public. Anyone may read our public pages and submit a request for access, but an account becomes usable only after a Pratt Logistics administrator approves it and associates it with an approved carrier or shipper.

This policy covers our public pages and the signed-in website.

2. Information we collect

Depending on how you use the website, we may collect the following categories of information.

Information you give us

  • Your name, email address, and account credentials.
  • The carrier or shipper company you act for, and any request for access or association you submit.
  • The appointment and load details you enter, including any notes or instructions.
  • Messages you send us.

Information we assign

  • Your username, your role and permissions, and the company or plant an administrator associates with your account.

Information recorded automatically

  • Account activity, such as sign-in history, password changes, and failed sign-in attempts.
  • Technical information about your use of the site, such as your IP address, browser and device type, and the pages you request.
  • A record of the actions you take in the application and the changes you make to records.
  • Technical information about errors, recorded so we can diagnose them, which may identify the account in use at the time.

Information generated about you

  • The messages we send you and whether they were delivered.
  • Website analytics, described in section 7.
  • Backup copies of the above.

We do not collect precise or GPS location. Google Analytics may estimate your general area from your IP address, as section 7 explains. We do not sell information about you and we do not use it for advertising.

3. Information about other people

Some fields let you record details of people other than yourself, such as a contact name, job title, phone number, or email address at your own company or a carrier. If you enter information about someone else, you confirm that you are authorized to provide it to us and that they are aware it will be handled as described in this policy. Enter only the information required for the business purpose.

4. Sensitive information

The application has free-text fields, including special instructions, internal notes, and inspection comments. They are meant for operational detail about a load or a dock appointment.

Do not enter sensitive personal information in free-text fields. This includes Social Security and other government identification numbers, payment card, bank, and other financial account details, health and medical information, images of driver's licences, and login credentials. None of it is required to schedule a dock appointment.

5. How we use information

We use what we collect to:

  • Create your account, sign you in, and keep your session active
  • Confirm you are authorized to act for the carrier or shipper you name
  • Schedule dock appointments and show them to the plants and companies involved
  • Send you transactional email such as appointment notices, verification, and password resets
  • Keep business records of the appointments, loads, and changes made in the application
  • Produce internal operational reporting and aggregated statistics, for example on dock utilisation, appointment adherence, and turnaround times
  • Audit activity in the application, so we can establish who changed a record and when
  • Analyse and improve the performance and reliability of the application, and plan capacity
  • Diagnose errors, monitor for faults, and keep the application working
  • Protect the application against unauthorized access, fraud, and abuse
  • Comply with our legal and record-keeping obligations

If we ever want to use your information for a purpose that is not compatible with those above, we will seek your consent where the law requires it.

6. Cookies, your session, and Do Not Track

When you sign in we set an encrypted authentication cookie so you stay signed in as you move between pages, along with a session cookie. Your session expires after a period of inactivity. Both are strictly necessary: the website cannot function without them and they cannot be switched off while you are signed in. Signing out clears them.

Google Analytics sets its own cookies, as described in the next section.

There is no uniform industry standard for how a site should interpret a Do Not Track browser setting, so this site does not respond to it. To stop analytics collection, use the controls in the next section.

7. Analytics

We use Google Analytics to measure how our pages are found and used. It collects information about your visit, including your IP address, from which it may estimate your general area. That estimate is not precise location. We read this data in aggregate and do not send Google your name, email address, or username. Google Signals is not enabled on our Analytics property, so this data is not used for advertising personalization or cross-device profiling.

You can prevent this collection by installing Google's browser opt-out add-on or by blocking analytics cookies in your browser. Either choice leaves the website fully usable.

8. How information is shared

We do not sell your information, rent it, or share it for anyone else's marketing. We disclose it only as follows.

Inside the application, as the business requires

Appointment and load records are visible to the Pratt Logistics plants involved and to the carrier or shipper company associated with them. Where a record shows who created or changed it, other users see your name or username, not your email address or other contact details.

Within Pratt

To Pratt Logistics, LLC and affiliated Pratt companies, and to the staff within them who operate, support, and audit this application. Our server, application, and security logs are held on systems Pratt controls and are not sent to a third-party log-management or monitoring service.

To service providers acting on our instructions

We use service providers in these categories:

  • Hosting and infrastructure, which run the servers the application sits on
  • Database and data storage
  • Backup and disaster recovery
  • Email delivery, so the messages the application generates reach you
  • Website analytics, as described in section 7
  • Security monitoring and protection
  • Technical support and maintenance of the application

These providers may use your information only to perform the service for us, under contract, and not for their own purposes.

In a corporate transaction

If Pratt Logistics is involved in a merger, acquisition, financing, reorganization, bankruptcy, or a sale of all or part of its business or assets, information covered by this policy may be transferred or disclosed as part of that transaction or the diligence for it. We will require any recipient to continue handling it under terms consistent with this policy, and we will tell you if it becomes subject to a materially different policy.

Where the law requires it

To comply with a legal obligation or valid legal process, to enforce our terms, or to protect the rights, safety, and property of Pratt, our users, or the public.

9. How long we keep it

We keep each category only as long as we need it for the purpose it was collected for, and then for any period the law requires.

10. Security

Using the application requires an account, and an administrator must approve an account before it can be used. Accounts lock after repeated failed sign-in attempts, authentication cookies are encrypted, and access to the underlying systems is limited to authorized personnel.

No system is perfectly secure, and we cannot promise that information sent over the internet will never be intercepted. Use a strong password, do not reuse a password from another service, and notify us immediately if you believe your account has been accessed by someone else.

11. Your choices and how to reach us

You can review and update your own account details while signed in. You can also ask us to:

  • Tell you what information we hold about you, and give you a copy
  • Correct information that is wrong and that you cannot edit yourself
  • Delete information about you, or deactivate your account

Deactivating an account and deleting information are separate requests; specify which you are making. Submit requests, or questions about this policy, using the contact details in section 15. We will acknowledge your request and tell you what we need in order to verify who you are before we act on it, which will normally mean confirming details we already hold, such as control of the email address on the account. An authorized agent may make a request for you if they give us written proof that you permitted them to.

Because this application records business dealings between companies, we may need to keep operational records, and copies in backups, even after an account is closed or a deletion request is honored. Where that applies we will tell you what we kept and why. We will not deny you service, charge you a different price or rate, or give you a lower standard of service because you exercised any of these rights.

You can opt out of analytics as described in section 7. You cannot opt out of the authentication and session cookies while signed in, because the website cannot run without them.

12. State privacy rights

Several states, including California, give residents rights over their personal information. Those rights can cover information about you in a business capacity as well as a personal one. The rights described in section 11 are available to you whatever state you are in: we apply them to everyone rather than asking you to prove where you live.

Pratt Dock Scheduler does not sell personal information and does not share it for cross-context behavioral advertising. It has not done either in the preceding twelve months. We do not knowingly collect or sell the personal information of anyone under 16. We do not use personal information to profile you in a way that produces legal or similarly significant effects, and we do not collect sensitive personal information in order to infer characteristics about you.

For reference, the categories in section 2 map to the categories these laws use as follows: identifiers, meaning your name, username, email address, IP address, and session and account identifiers; professional or employment-related information, meaning your employer, job title, role, and permissions; internet or network activity, meaning pages requested, actions taken in the application, and analytics; and commercial information, meaning the appointment and load records you create. We collect them from you, from the Pratt Logistics administrator who approves your account, automatically from your use of the site, and from the service providers in section 8. We use them for the purposes in section 5, disclose them to the recipients in section 8, and retain them on the criteria in section 9.

Pratt Industries also publishes a company-wide privacy policy covering Pratt's business more broadly. It describes practices that do not apply to this application, so where the two differ, this policy governs Pratt Dock Scheduler. Contact us using section 15 if you would rather direct a request to Pratt centrally.

13. Children

This is a business application for adults acting in a professional capacity. It is not directed to children and we do not knowingly collect information from anyone under 16. If we learn that someone under 16 has given us information, we will delete it and deactivate any account they created. If you believe that has happened, tell us using section 15.

14. Changes to this policy

We may update this policy, and we review it at least once a year. When we change it we will update the Effective Date at the top of this page. If a change materially affects how we handle your information, we will give notice inside the application or by email before it takes effect, and we will obtain your consent where the law requires it.
